How do I set up my business process in HoneyBook?

Start using HoneyBook for your business and create a step-by-step plan for how you work with clients. By visually outlining your process, you can make it more efficient and give clients a better experience. It can also save you time and potentially increase your earnings by using more HoneyBook features to attract clients, automate communication, and handle administrative tasks automatically.

Once you answer some questions about the service you want to plan, HoneyBook will provide you with a visual diagram of your process. It will also offer links to features or templates you can use to improve your existing process on HoneyBook.


Take the process mapping quiz

This questionnaire will ask you about every part of your work process for that service, from getting new clients to keeping a good relationship with them even after you send the final product.

Take your time to think about how you imagine that process, so your map can be as precise as possible, and take the quiz again until you're satisfied with your process map. Keep in mind that the answers you provide here will determine your next steps, so it's alright to take a little extra time to decide how you want to respond.

  1. From the top navigation menu, select Templates & select My process.

  2. Select Start Mapping. If you’ve already completed a process map, select Start New Map to map another service.

  3. Select Start.

  4. Name the service you’ll map > select Next.

  5. Finish the mapping quiz.


Start building your process

Once you have created your process map, review it to make sure it reflects your work. If you see anything that seems inaccurate, retake the quiz to get the most accurate results. Once you are satisfied with your process map, begin setting up the various features.

If a map doesn't work for you, delete it by selecting the triple-dot icon next to the name, then selecting Delete.

Process maps can also be downloaded by selecting the map, then selecting the Download icon in the top-right corner of your screen.

Each of the blocks in your process map will take you to that feature if you select them. Work your way through the map column by column starting with Capture new business. The sections below will have additional info on each of the blocks you might have in your own process map, and you can always reach out to HoneyBook’s Concierge team by selecting the Question Mark icon on any HoneyBook page.

📣 Note: Your process map may not look exactly like the example above, and you may not need every helpful link below to set up your service process in HoneyBook. Use the map in your account as your main reference to work from, and come back here if you have any questions about the specific feature you’re setting up.

Capture new business

This step is all about generating interest for your services, encouraging those potential clients (leads) to contact you (capturing their contact information) and responding to them. Your focus should be to:

  • Get in front of your target audience

  • Communicate your services & their value

  • Generate interest and driving potential clients (leads) to contact you

  • Respond to your leads

Qualify leads

This step is for evaluating whether this is a good fit and helping the lead select the right services for them. Your focus should be to:

  • Understand whether this potential client is a good fit for you

  • Further communicate your value to the lead

  • Help them select the right services that fit their budget and will solve their problems

Book clients

This step is all about making it official with the lead and converting them into a paid client by finalizing the agreement and potentially an invoice. Your focus should be to:

  • Get the lead to sign a contract/agreement (if using)

  • Send an invoice for the first payment (if that’s your payment schedule)

Manage projects

This is your domain, where you are an expert at how you deliver the services you offer. The phase ends with you heading those over and offboarding your client. Your focus should be to:

  • Manage the project and deliver the services

  • Maintain a great client experience with clear communication

  • Complete the project and get paid

Maintain relationships

This step focuses on maintaining a strong relationship with your client now that the project is finished, hopefully leading to more business and future projects.

  • Turn this project into more business down the line

  • Maintain a warm relationship with this past client

  • Stay top of mind for the client—for future opportunities
